The Complete Guide to Choosing a Hotel LMS
Everything to evaluate before buying a hotel LMS: content depth, state-mandate handling, automation, integrations, and the questions vendors dodge.
Start with the content, not the features
The single biggest cost of any LMS is not the subscription. It's filling it. A platform with every feature and an empty library means months of content work before day one of training. Ask every vendor: how many hotel-specific lessons are included, and can I read them before buying?
A generic platform will show you authoring tools. A vertical platform will show you a catalog.
The five evaluation criteria
1. Content depth for your vertical
Count lessons per department, not marketing claims. Front office, housekeeping, F&B, finance, security. A real hotel library covers all of them, in the industry's own language (night audit, triple-sheeting, the 10/5 Rule).
2. State-mandate handling
If you operate in California, Texas, or New York, mandated training (RBS, TABC, harassment prevention, SB 553) is non-negotiable. The question is whether the platform knows the mandates, mapping state × role × certification automatically, or leaves the matrix to your spreadsheet.
3. Automation surface
Every manual step dies at scale: enrollments, expiry chasing, reminders. Ask what happens, with nobody touching anything, when (a) your HRIS records a new hire, (b) a certification hits 30 days from expiry, (c) someone fails a quiz.
4. How staff actually access it
Line staff don't have work email. SMS magic links and WhatsApp delivery aren't nice-to-haves. They're the difference between 95% and 40% completion.
5. Proof for stakeholders
Owners, brands, auditors and insurers all want evidence. Look for portfolio-level compliance views and exports that don't require manual assembly.
Questions vendors hope you won't ask
- "Show me the courses my housekeepers would take — right now, in the demo."
- "What exactly happens when an SOP changes?"
- "How does a bartender in our Austin property get different training than one in San Diego?"
- "What's the per-property price with unlimited staff?"
The bottom line
Buy the library and the automation; the features come along anyway. A platform that arrives full and runs itself beats a feature list every time.
